We'd like to take a minute to update you on the implementation of the SAP-HR
(human resources) module.
SyTEC, the State System group responsible for the SAP implementation, completed
a comprehensive review of implementation efforts for the SAP-HR module in early
May. While all efforts, including training of campus representatives, had so
far been successful, SyTEC staff was concerned that more comprehensive testing
of the system would need to be completed prior to go-live.
As a result, SyTEC has been given approval to delay the SAP-HR Implementation
until December of this year.
With this implementation date change, the SAP-HR campus based training originally
scheduled for May and June has been cancelled. We will provide you with an update
on revised training plans for the SAP-HR module early in the fall semester.
We anticipate training for campus employees to occur in late November and early
December.
At this point, members of the implementation team have been able to view and
work with various elements of the SAP-HR. When we do go live, we believe that
all employees who work with time reporting will find this to be a significant
improvement over our current system. We also believe the delayed implementation
will allow for more testing and allow the campus-based trainers more time to
work on developing the actual campus training programs.

We are writing to provide you with an update on the status of the implementation for the Human Resources module in SAP (SAP-HR).
Last spring, we announced that the implementation of this module had been moved back from July 2003 to December 2003 in order to allow for greater testing of the system. The project remains on schedule for a December 2003 implementation.
Over the summer, both locally and at the State System level, staff have been involved in discussing, updating, and testing various parts of the SAP-HR module. Four members of the university Human Resources staff spent four days in July with individuals from other Human Resources and Payroll Offices in the State System testing the entire module.
We are pleased to report that the testing went well and that members of the university Human Resources staff were impressed with the overall functionality of the module, as well as the enhancements this system has over the current Human Resources Information System.
Later this semester, notices will be sent to all employees who complete or approve time sheets advising them of the training dates for the new system. It is anticipated that employees will only need to attend one training session lasting no more than three hours. Training will most likely be held in late November and/or early December.
The significant initial change for employees who complete or approve time sheets will be that all time will be submitted and approved electronically via the SAP-HR module.
Shortly, departments will also be provided with a listing of employee work days and work schedules. It will be very important that these be reviewed closely for accuracy and returned to Human Resources. The SAP-HR module automatically calculates overtime and shift differential based on the schedule of the employee. As a result, if the schedule in the system for the employee is not correct, the employee may be paid overtime for hours that they should not be paid overtime or may not be paid for hours that should be paid as overtime.
We appreciate your continued support and cooperation as we move closer to the
"go-live" date for SAP-HR.
